Terms and Conditions for Event Entertainment Bookings
A Whole New World Event Entertainment & Fancy Fox Entertainment
These Terms and Conditions apply to all event bookings made with both companies listed above and cover services such as face painting, stilt walking, bubble performance, dancing, singing, character parties & acts, event hosting, discos fire breathing, crafts, and mirror head dancers.

1. Booking & Payment
• A booking is only confirmed once a deposit or full payment (as agreed) has been received unless agreed otherwise. IF cancelled when a “no booking fee” has been agreed, this will be charged if you cancel still.
• Full payment is due no later than 4 weeks prior to the event unless otherwise arranged and agreed
• Any cancellations must be made in writing. Booking fees are non-refundable.

2. Event Requirements
For a smooth performance and to ensure safety and quality, the following conditions must be met:
Indoor & outdoor Events:
• A secure and private changing area must be provided for performers to get into costume and prepare
• Adequate space must be allocated for the performance/activity and equipment setup.
• Access to power and water must be made available if required for the activity.
Outdoor Events:
• A gazebo or sheltered area must be provided by the event organiser if the act is outdoors and requires one
• If no cover is available, we can supply a gazebo for an additional fee (subject to availability).
• For face painting, glitter art, and crafts, we require a flat surface and shelter to operate safely and to protect products and equipment.
• In the case of extreme weather conditions (heavy rain, high winds, or extreme heat), performances may need to be adjusted, paused, or cancelled for the safety of performers and the public.
• Ground surfaces must be safe for walking and stable enough for stilts, dance, or movement-based performances.

3. Performer Health and Safety
• Fire breathing or high-risk acts must have a safe, designated performance space that meets safety standards and is cleared of audience within a 5-metre radius. A fire extinguisher must be accessible.
• Audience cooperation is required, especially in interactive shows.
• We reserves the right to refuse or stop a performance if the environment becomes unsafe or performers are subjected to abuse or harassment.

4. Client Responsibilities
The client agrees to:
• Ensure clear access to the event location, including assistance with carrying equipment if needed.
• Provide appropriate parking or drop-off access for unloading. If parking charges apply and we aren’t informed before being quoted, an invoice will be sent out to cover this.
• Inform us in advance of any venue restrictions, including noise limits, space, time restrictions, or safety regulations.
• Ensure parental/guardian supervision at all times during children’s activities.
• Protect our equipment from damage or theft during the event. Any deliberate damage or loss may be chargeable.

5. Performer Substitution & Changes
• In the unlikely event that a specific performer is unavailable due to illness or emergency, we will make every effort to provide a suitable replacement of similar standard and skill.
• Changes to the performance schedule must be communicated at least 2 weeks hours the event and may be subject to additional charges.

6. Insurance and Legal
• All performers and staff are covered by Public Liability Insurance.
• Risk assessments can be provided upon request.
• All face painting products are EU & UK compliant, skin-safe, and hypoallergenic; however, this is not suitable for under 3 years.

7. Photography & Media
•We may take photos or videos during performances for promotional use. If you do not wish for your event or guests to appear in any media, please let us know in writing before the event. We often put together a small reel, showing what’s happened at an event, which helps promote the event for next time, and what we have been doing
•If your event is for the public, we do our best to help advertise this for you also, by sharing the event, and adding it to our what’s on posts, if you don’t want us to do this, please state upon booking.

8. Cancellation & Refund Policy
• Cancellations made more than 30 days before the event will receive a refund of any amount paid, minus the booking fee
• Cancellations made within 30 days may be subject to up to 50% of the fee.
• Cancellations made within 14 days may be subject to up to 100% of the fee.
• If we are forced to cancel due to extreme weather (outdoor events) and no alternative indoor space is provided, the client may still be liable for a portion of the fee, especially if travel or setup has occurred.

By comfirming & proceeding with your booking with A Whole New World Events & Fancy Fox Entertainment, and paying your booking fee (even if one isn't required), you confirm that you agree to these Terms and Conditions.
