Paying the booking fee means that you have read and understand all the terms.

1) Contract:
This contract must be agreed within 24 hours of being received in order to maintain event date.
2)Booking fee:
A non-refundable booking fee must be paid in order to secure your event date. The booking must be paid with 24 hours of this contract being sent. If the booking fee is not received within 48 hours, the time slot will be offered to the next interested customer. Please don’t send payment before checking that the date is still available.
3) Payment:
For the booking fee , we only accept bank transfer. We can only accept cash at the end of the event if it has been authorised and agreed to by the business owner. fees.
4) Final Payment/Balance:
Client agrees to pay the balance 1 week before the party date via bank transfer or in cash before the party starts. Our performers do not accept cheque nor carry change so please have the correct money. Please make sure payment is cleared at the start of the party to avoid any delays to our next party with chasing this up, your party won't start until payment is received and loss of time won't be made up. Customer agrees that if no payment is made, we can leave without doing the party and no bad feedback is to be given!. If your payment isn't paid on time, you will occur a late payment charge of £5 per day. To avoid any further actions please make sure your balance is paid on time and before your party
5) Cancellations, & Rescheduling:
In the case of severe weather or unforeseen circumstance or illness, A Whole New World reserves the right to reschedule your party. If a Customer chooses to cancel a party due to weather or unforeseen circumstances or illness including COVID-19, the customer may reschedule the event for a date up to a month from the original event date based on availability and for the same party package. An event can only be rescheduled once. If there Is no availability and you still wish to cancel, you will lose your booking fee. If you cancel your party up to 4 weeks before your party there will be a £50 rebooking/cancellation fee charge on top of your booking fee.. Booking fees are non-refundable. If you cancel your booking within 14 days of your event, you agree to pay the full balance of your party, if you have already paid in full, you will not be refunded. Unfortunately the short notice doesn't allow us to get another event in, resulting in loss of earnings for both the company and staff, actions may be taken if payment isn't received. We do our best to work with the customer around illnesses however this isn't always possible. If payment isn't made, with this being a contract,, legal action will be taken after 3 attempt to receive your outstanding balance.
6) Additional Children:
Each party has a recommended minimum and maximum limit for number of children in attendance. This allows for quality interaction and a stress-free performance from our hosts and characters. Customer agrees that the number of children stated when booking is truthful as this allows us and the performer to plan a party itinerary that will keep all children engaged and entertained for the entire booked time. Please note the party package you selected will have a maximum number of children, If the number of children exceeds or is a lot less than the disclosed number provided by the customer, the performer has permission to alter the itinerary of activities as she or he sees fit in order to complete the party within the agreed time. Having too many or too little children can have an impact on your party, especially when the children are under 5. Please note there will be an extra charge included if face painting is included and we have to run over time due to additional children turning up that we wasn’t aware about.
7)Additional Time
Customer understands that a timely departure is necessary in order for the performer to safely commute to her or his next event. If a Customer wishes a performer to stay longer than the booked time, the customer must discreetly pull performer away from the children and other guests and discuss the matter at least 15 minutes before the end of the event. Staying additional time is at the discretion of the performer. The performer will be paid £20 in cash for each additional 15 minutes she or he stays. If a performer for sees that a party could run longer than expected, she or he may pull the parent aside and discretely ask if the parent would like the performer to stay longer.
8) Smoking:
The costumes are property of A whole new World Event Entertainment are very valuable and will not be subject to smoke of any kind which can damage the costume. Please refrain from smoking around us when we are doing a party. Please also advise guests this also.
9)Pets:
We politely ask that if pets are present at your venue that you keep pets in another room, please make us aware if you do have pets due to us having members of staff with allergies and phobias.
While some of us love animals we have had costumes ruined in the past due to pets jumping up or sitting on our gowns. If staff arrive and pets are present, they are instructed to leave and the customer will not get a refund of payment as this request is mentioned right here. Customer also accepts that if pets are present during party and damage costumes that they are fully liable for paying for it to be replaced.
10) Activities:
A Whole New World Event Entertainment purposefully over schedules your event so that the Performer never runs out of activities to play with the children. The customer is asked to prioritise activity requests and advice the party host on the day of any activities which you would like to make sure we do. The customer understands that the Performer will do as many activities as time allows and accepts not all activities may be done the same as seen at other parties before, All activity/package options are listed on the website. Unless requested for alternative options, the Performer(s) will perform the Package activities listed on the website.
11) Changes to Party Start Time: Any changes to party start time are at the discretion of the booking team and are based on availability. Any changes must be made no later than a week before the party date. If changes are made to the time the week of the party and we need a different performer due to availability, please note there will be a £50 expense. If we arrive at a party and are asked to wait before making an appearance or to hold because of something else that is booked, unfortunately this will go into your booked time as we have a pretty strict time schedule between parties and will have to still leave at the time are booked until.
12) Changes to Party Length:
Any changes to party length must be made no later than 3 weeks before the party and are at the discretion of the booking team.
13) Location:
Proper accommodations will be provided to the Performer. If rain occurs and the event has been scheduled outdoors, it is the responsibility of the customer to arrange for an indoor event or the entertainment will be cancelled without refund. For extreme heat and cold, we recommend holding your party indoors. Activities may be affected depending on the conditions. Please make sure we have easy access to your venue, due to having heavy equipment, we do require 2 onsite parking spaces. If parking is a distance or upstairs and we haven’t been made aware this could make us late setting up for your party and time won't be made up. Please check the postcode you have given us on your own maps to make sure it does go to the correct place, along with making sure your venue name is well signed and easy to spot, if it isn't, you agree to give us driving instructions such as what is next to the party building so we can look out for that. A venue that is difficult to find makes us loose setting up time and also cuts into your party time.
14) Changing facilities
Your performer will arrive out of costume to be able to get things set up. Please refrain from saying around the children “ You can get changed there “ as this ruins the magic for them. We do require somewhere to get changed ideally with a mirror so the performer is able to Make corrections to the costume/wig if needed but it isn't essential to have a mirror if it isn't available. Please note a toilet Is not a safe environment for our performers to get change in, our costumes are very expensive so we do not want to be dragging a dress along the bathroom floors, there also isn't enough room for our performer to get changed comfortably in. We often have to leave our valuables in the room we get changed in so a toilet wouldn’t be an option. Please be aware also that the performer will get back into normal clothes once the party finishes, so sometimes it’s best to keep the little eyes away from seeing us set up /back down.
Please do take this into consideration when booking a venue, as we will not get changed in a disabled toilet. If suitable changing areas aren't available, our cast members won't be able to get changed for your party and will be entitled to leave with no refunds given or be a host instead of a character. Client agrees this, and agrees to not leave any negative feedback should this happen due to the client not providing safe changing areas. We are happy to get changed in meeting rooms/offices/any space that isn't a toilet or dirty and is safe.
15) Parking
We do require a parking space at your venue address, if parking is difficult please let us know in advance, due to the amount of heavy equipment we have if parking isn’t on site then start time may be delayed and time will be lost. Customer understands if parking requires payment then this will be added onto the balance of the party or ideally paid in advance by the customer.
16)Power:
For 2 hour parties we require power for our music equipment
17) Allergies:
Client must inform A Whole New World of any allergies to food or products such as nail polish, latex, acrylics, temporary tattoos, or face paints prior to event or party. Client understands that A Whole New World Event Entertainment is not responsible for any injuries or allergic reactions that occur at your event.
18) Photo Release:
Any photos taken are hereby signed as release to be used by A Whole New World Event Entertainment for website, social media, and promotional use. If you wish for Your/a Child to not be publicly advertised, please let us know before the party commences.
19) Damage:
We understand that accidents happen, however, the customer may be held responsible for excessive damage sustained to costumes and property of A Whole New World during customers event. The cost to replace/repair damaged/broken costumes or materials will be billed to the customer.
20) Discipline and Non-Participation:
The Performer is responsible for the flow of the event and activities. The Customer is responsible for monitoring disruptive behaviour and attending to any child who does not want to participate. Some birthday children get overwhelmed and need to take a step back, our performers will carry on with the party until your child is ready to join in. The customer can't hold A Whole New Worlds Performers responsible for any child that does not wish to join in, this of course is disappointing however it is out of hands. A Whole New World reserves the rights to change activities to the party if needed due to behaviour.
21) Adults at Event:
We ask that the parent(s) or guardian(s) of the birthday child please stay for the duration of the party to attend to the possible needs of the children. Adults are welcome to stay and enjoy the performance, but we ask that onlookers keep the noise level to a minimum, so the children do not get distracted and can adequately hear instructions from the Performer. Please note, parents can be noisy, and this can make it difficult for us, we tell our grown ups to keep the volume down but most often we do get ignored, please know we will do our best in this situation. We kindly ask and strongly advice parents at the party aren't encourage to consume excessive amounts of alcohol, Please remember this is a child's party, and adults can become loud, rude and disruptive if alcohol is available.
22) Performer Preference:
We have multiple cast members, if you have a preference of a cast member please make us aware of this before booking. A customer performer request is based on availability of performer and is not guaranteed.
23) More Than 1 Performer
While we would love to be able to guarantee our customers multiple performers, it isn't always possible, especially when parties are booked far in advance. Paying your booking fee means that you are aware of this and agree not to hold A Whole New World responsible. We would love to keep all of our performers however it isn't always possible, and these situations are our control.
24) Performer Rights
Our performers are trained to keep the safety of your guests in mind at all times. If at any time there is a situation where the performer(s) feels unsafe, harassed, in a hostile or hazardous environment or has inappropriate comments are made, they will address the issue with the parent/guardian or host. If the issue is not resolved, the performer(s) has the right to refuse to perform services and will leave with immediate effect. The party fees paid will be non-refundable and will act as compensation to the company.
25) Performer Interactions
For parties at home our performer will arrive ready to go, please do not bring your child out to us when we arrive or wave us goodbye, just because a princess driving a little car ruins the magic.
From the moment of arrival until departure, our performers will remain in character! Please refrain from referring to the performer by their given name or asking questions about their costume or company. We would be happy to answer these questions outside after the party with no little eyes or ears nearby, or via phone, email or Facebook! Please help us keep the magic alive!
26) Royal Assistants/Party Hosts
Most 2 hour parties will include a Royal assistant/Party host. They can be identified by their uniform which is Purple or green polo shirts with our company logo on them. They will be there to help both Parents/Performers to set up and clean up after activities, as well as answering any questions you might have, they also may help the performer stay in character. While A Whole New World strives to have a host at every party, it is not always possible.
27) Liability:
The Customer agrees to hold and keep harmless A Whole New World and its Performers from any and all property damages and/or bodily injury damage caused by the Customer’s guests. Customer agrees to not hold A Whole New World responsible for inclement weather or other Acts of God that may cause cancellation of the event.
28) Other Companies
We do not work along side any other companies unless this has been approved beforehand. Once we arrive at the venue and find another company there we are in our rights to leave with full payment as this is stated on your t&cs. We also don’t allow at your event other adults “dressed up” acting as a performer/character, this can be very damaging to our reputation. This does not mean we don’t allow parents to get involved and dress up, only those acting with us as a character.
29). Inflatables/bouncy castles
Please do not hire any bouncy castles, we find these a huge distraction for the children. As a 2 hour party package you don’t need any other form of entertainment, and to ensure you get full benefit from our services we advice you not to hire a castle. If we arrive and there is a bouncy castle we can leave with full payment, or your party activities may have to change. client agrees this. If your visit is for one hour and you have hired a bouncy castle also, please put these down for the time we are there.
30) UV Parties
UV parties are recommended at later time, this is to ensure the room is darker. We unfortunately do not know all venues that are booked for these packages, so please check it out beforehand to make sure there isn't any windows that don't have curtains, and to basically make sure you get the full affect from the party with a room that goes blacked out. Our customers accepts that they will not hold a whole new world event entertainment responsible for a customers choice in venue if the party doesn't glow as seen in photos if the room isn't dark enough.
31) COVID-19
If we return into lockdown and your party is unable to go ahead, unfortunately we will not be refunding booking fees, these are none refundable and be transferred to another date for another party booking of the same package.
We advice:
• Sanitiser available to use before eating food if indoor area unavailable
• children & adults attending are kept to the restricted number
• Birthday child blows candles out on a cake that isn’t going to be shared between other people - this is because spit/germs will potentially be transmitted onto the cake.
